Fill Out Your Tax Organizer
We built a special website that asks you about every year in your case โ one tab per year. This is the most important thing you can do. Without this information, Kathy cannot prepare your returns.

When the organizer opens, you will see tabs across the top for each year in your case. Start at the first year and work across. Click Save [Year] before moving to the next tab.
For each year, for each type of work you did, we need:
- ๐Vehicle used โ which car or motorcycle did you drive for that specific work?
- ๐ฑCell phone bill โ your total annual bill, and what percent you use it for work
- ๐งEquipment purchased โ tools, devices, or supplies you bought for work. What, how much, where.
- ๐Uniforms or work gear โ clothing worn only for work (not regular everyday clothes)
- ๐Car insurance โ how much you pay per year to insure each business vehicle
- ๐ตCommissions paid โ if you paid anyone to help you get clients or make sales, we need their name and amount
๐จ One Field That Matters More Than All Others
If your organizer has a red section about large cash deposits, fill it in carefully. Explain where the cash came from โ was it a loan? Did you sell something? Was it from work? Your answer could change your tax bill significantly. Take your time.
When you finish the last year's tab, click Submit All Years at the bottom. This sends everything to Kathy automatically.

Upload Your Bank Statements
We need monthly bank statements for every year in your case. A bank statement is the PDF your bank creates each month showing all the money that went in and out of your account.

How to Get Your Bank Statements
1. Log into your bank's website or app
2. Find "Documents," "Statements," or "eStatements"
3. Download each month as a PDF
4. Upload all of them to the Dropbox link below
Upload statements for every year in your case. If any months are missing, request them from your bank as soon as possible. Kathy cannot file your returns until all the months she needs are received.

Upload Your Tax Documents
These are the official tax forms that employers and companies mail you. Gather everything and upload to the same Dropbox folder above.
- ๐W-2 from every employer โ your employer mails this by January 31 each year. If missing, call HR and ask for it.
- ๐ Form 1098 โ Mortgage Interest โ your mortgage lender mails this every January if you own a home.
- ๐ฒGambling win/loss statements โ download from TVG account under Tax Documents; request from casino players club desk.
- ๐Robinhood or investment 1099 โ open the app โ Account โ Tax Documents. Usually available by February 15.
- ๐ณ1099-K forms โ Cash App, PayPal, or Venmo may mail you one if you received over $600. Check your email.
- ๐ฅForm 1095-A โ ONLY if you had Covered California health insurance. Covered CA mails this in January.
- ๐Any other 1099s โ if any company sent you a tax form, include it. When in doubt, upload it.
Can't find a document? Call the company or employer and ask them to resend it. For bank statements, log into your bank's online portal โ most banks keep up to 7 years of statements available.

Sign and Return the Signature Packet
You received four documents that require your real handwritten signature. The IRS and California do not accept electronic or typed signatures on these forms. Kathy cannot access your IRS records, file anything, or represent you until she has your signed copies.

How to Sign and Return โ 4 Steps
A โ Print all four documents. Any printer works โ library, FedEx, UPS Store, or home printer.
B โ Sign in ink โ blue or black pen only. Sign and date every signature line on every document.
C โ Scan the signed pages with your phone. iPhone: open the Camera or Notes app and use the scan function. Android: use Adobe Scan (free download).
D โ Upload the scanned files to your Dropbox folder. Name them clearly: "Signed Form 8821," "Signed Engagement Letter," etc.
No printer? FedEx, UPS, Staples, and most public libraries have printers available for a small fee.

Watch for a Letter from the California FTB
After Kathy uploads your signed California authorization form, the California FTB (state tax agency) will mail you a letter. This letter contains a one-time code you must enter online to confirm Kathy's access to your California account.

This letter looks like standard mail and is easy to miss. Open every piece of mail from the IRS or FTB โ do not throw any of it away without reading it first.

What to do when the letter arrives
1. Open the letter and find the code inside
2. Go to
ftb.ca.gov and log into your MyFTB account
3. Enter the code to approve Kathy's access

Do not have a MyFTB account? Go to ftb.ca.gov โ Register for MyFTB. You will need your Social Security number and a California tax return from a prior year to set it up. Call Marquecia and she will walk you through it.
Important Rules While We Work on Your Case
๐ซDo not call the IRS or FTB on your own. If you try to talk to them without Kathy, you could accidentally say something that makes your situation worse. All agency contact goes through Kathy.
๐ฌForward every notice you receive โ the same day. If you get any letter from the IRS or FTB, take a photo and send it to Marquecia immediately. Do not ignore or throw away any tax mail.
๐ณDo not agree to any payment amount. If the IRS or FTB calls you, be polite, write down their name and phone number, and call Marquecia right away. Do not agree to pay anything or set up any plan without Kathy's guidance.
๐ฑRespond when Kathy or Marquecia contacts you. If you do not respond, your case slows down. A fast response from you means a faster resolution.

Keep copies of everything you send us. Keep a copy of every document you upload. If something gets lost, you will have your own copy.
Questions We Hear Most Often
Why do I need to fill out so many years โ I thought we were just doing this year? โพ
Every year in your case affects the others. The IRS will not approve any payment plan or relief while any year is unfiled or has an unresolved issue. We have to clean up all the years together, not just one.
What if I don't have all my documents right now? โพ
Upload what you have and let Kathy know what is missing. Some documents, like W-2s and 1098s, are not sent until January or February. Gather what you can now and continue sending documents as you receive them. The earlier we have everything, the sooner we can file.
I don't have a printer. How do I sign the documents? โพ
You can print at FedEx Office, UPS Store, Staples, or your local public library โ usually for a small fee or free. You can also email the PDF to yourself and print from any computer. Once printed, sign with a pen, scan with your phone camera, and upload to Dropbox.
The IRS sent me a letter. What do I do? โพ
Do NOT call them or respond on your own. Take a photo of the letter โ front and back โ and send it to Marquecia at (424) 470-7407 the same day you receive it. Kathy will tell you what it means and what to do. Never ignore an IRS or FTB letter, even if it looks like junk mail.
How long will this take? โพ
For a multi-year resolution case, typical timelines are: 30 days to get authorizations in place and stops any enforcement action. 60โ90 days to file amended or original returns. 4โ6 months for the IRS and FTB to process and respond. Final resolution (installment agreement, lien withdrawal, penalty reduction) follows after that. The biggest factor affecting your timeline is how quickly you complete the organizer and upload your documents.
I'm nervous about all of this. Is that normal? โพ
Yes โ completely normal. The IRS and state tax agencies are designed to be intimidating. That is exactly why you have Kathy working on your side. Your job is to follow this guide and keep sending documents. Kathy and Marquecia handle everything else. You are in good hands.
How do I log into the client portal? โพ
Go to pts-client-tools.pages.dev. Select "Client" as your role. Enter your email address and the access code Kathy gave you. You will see your case overview, contact info, and document checklist. If you forgot your access code, call Marquecia at (424) 470-7407.
